To book a room* for 18th / 21st parties or similar functions the person hiring the room must read and agree to the following conditions.

Booking Conditions

1. Please note that bookings are only confirmed on completion of club membership and payment of a £350 non-refundable room hire fee.

2. Additionally, bookings are only accepted on the understanding that at least 40% of those attending are responsible, mature adults (over 25 years old).

3. Two weeks prior to the party, a refundable bond of £125 must be paid. We will normally refund this bond on the next working day following the party unless our conditions are not followed.

4. We will not refund this bond when our conditions of hire are breached. In particular, we will not refund this bond in the event of –

   1. any damage to the club premises or property (including fixtures, fittings and furniture) anywhere on the club grounds,

   2. any abusive or aggressive behaviour towards staff or other guests,

   3. overcrowding leading to closure of the bar and clearing of the room,

   4. police assistance being requested.

5. The hirer is responsible for the actions and behaviour of their guests and outside contractors or third parties and any incidents which may occur at their function. However we will provide staff on the night that may be approached for assistance if problems arise (such as uninvited guests, etc.).

6. Please note that the booking charge only covers the specific function room hired and the member booking the party is responsible for ensuring that guests do not wander freely around the premises and disturb other club users. In particular, consideration must be given to our gym members, who may be using our facilities up until 10:30 pm and to other customers using the other function rooms. Also, please note that our maximum capacities are – Belsay Room 200 and Amble Room 120, and it is the responsibility of the booking member not to overcrowd the room. Any such overcrowding is a breach of our licence conditions and fire procedures and staff would be forced to close the bar and clear the room in these circumstances.

Cancellation Conditions

1. If the hirer cancels the booking –

   1. after it has been confirmed and the deposit paid, no money can be returned,

   2. more than one month from the date of the function, a cancellation fee of £200 will be payable,

   3. within one month from the date of the function, a cancellation fee of £300 will be payable.

2. If the hirer wishes to change the booking, we will endeavour to comply, but this cannot be guaranteed and cancellation charges may be applied.

3. In the unlikely event that we have to cancel your booking, we reserve the right to do so.

4. In the unlikely event that we have to change your booking, we will notify you and try to rearrange.

       * Please note: The Belsay Room is upstairs and is not wheelchair accessible. The Amble Room is fully accessible.
